About the position 

We are seeking a part-time Information and Records Management Administrator (3 days per week), reporting to the Knowledge Manager, to support the effective management of organisational information and records across the Guardians. 

This role plays an important part in helping the organisation meet its obligations under the Public Records Act 2005, while ensuring information is managed as a trusted strategic asset. You will provide practical, frontline advice to staff, support the maintenance and continuous improvement of our Information and Records Management Framework, and help embed good information management practices into everyday business processes and systems. 

Supporting the Knowledge Manager, and working closely with colleagues across the organisation, you will also support training and awareness activities, promote understanding of information-related risk, and contribute to preserving organisational knowledge in a dynamic and evolving digital environment. 

About you 

Ideally, you will bring a background in information and records management and enjoy applying your knowledge in a practical, people-focused way. You are confident in engaging with others and are comfortable training, facilitating sessions, and explaining requirements clearly and pragmatically to a wide range of stakeholders. 

You will also bring: 

  • An understanding of information and records management principles, including records lifecycle concepts and information governance 

  • Awareness of New Zealand public sector legislation and standards, including recordkeeping, privacy and security fundamentals 

  • Familiarity with metadata standards, retention and disposal practices, and information asset management 

  • Strong written and verbal communication skills, with the confidence to deliver training, awareness sessions, and guidance 

  • Attention to detail and sound judgement when handling sensitive or confidential information 

  • The ability to manage competing priorities and coordinate work across multiple teams 

  • Proficiency with business tools and platforms, including registers, spreadsheets, collaboration tools and the Microsoft 365 suite 

  • Adaptability, resilience and a continuous improvement mindset
